We use information to run the receptionist service and support the business you contact. Google sign-in is for account access, not access to your inbox. You can contact us about your information and privacy choices.
A short overview. The full document below provides the details.
Who we are
Avowis is a business communications service that helps businesses answer calls and messages, manage enquiries and organise customer requests. It is operated by Rahul Gupta trading as Avowis (Avowis, we, us or our).
This policy explains how we handle personal information through avowis.com, our application and communications handled by the service. It covers business account holders, website visitors and people who contact a business using Avowis.
For account administration, website operation and security, we determine how information is used. For customer conversations and bookings handled on behalf of a business, that business directs the processing and is normally your first contact for questions about its services or customer records.
Information we handle
- Account information: your name, email address, authentication identifiers, profile information supplied by your sign-in provider, company membership and access permissions.
- Business information: business name, contact details, service areas, hours, services, pricing rules, policies and knowledge documents supplied by authorised users.
- Customer and communication information: names, phone numbers, email addresses, service addresses, enquiry details, text messages, call transcripts, summaries, appointment requests, booking history and handoff notes.
- Call and usage information: live audio processed to understand and respond to a call, call identifiers, timestamps, duration, delivery status, service usage and diagnostic information. Audio processing and a stored call recording are different: any recording feature requires the notices and permissions appropriate to that business and call.
- Transaction information: plan and usage records, payment status and transaction references where those features are enabled. Do not send payment-card numbers, passwords or bank credentials in a call, message or knowledge document.
- Technical information: IP addresses, browser/device information, request logs, session cookies and similar information needed for authentication, security and troubleshooting.
Information may come from you, the business you contact, authorised business users, connected providers or your use of the service. The features enabled for a business determine which categories are processed.
How we use information
We use information to authenticate users, operate business workspaces, handle calls and messages, answer questions using business-provided information, prepare estimates, manage requests and bookings, and notify the business when a person needs to help.
Conversations may be reviewed by authorised personnel to monitor and improve service quality.
We also use account, operational and usage information for support, billing where applicable, reliability monitoring, preventing abuse, investigating problems and meeting legal obligations. Human review may be needed to resolve a support request, investigate misuse or correct a business workflow.
Businesses are responsible for reviewing their information and deciding how their receptionist should respond. An AI-generated answer can be inaccurate; important details should be confirmed with the business.
Google sign-in and Google data
If you choose Google sign-in, Google and our authentication provider, Supabase, help verify your identity. We receive account information such as your name, email address, profile image if supplied, and account identifiers. Authentication/session information is processed by Supabase; identifiers and relevant profile details are used to associate you with your Avowis account and business access.
We use this information for signing you in, displaying your account and administering authorised access. Signing in with Google does not give Avowis access to your Gmail messages, Google Drive files, Google Contacts or Google Calendar. A calendar integration requires the business to separately authorise access to its calendar.
Connected Google Calendar: where enabled, a business can share a designated calendar with the service account used by Avowis. We read event identifiers, event status and start/end times to check availability, and create, update or cancel booking events according to the business's instructions. Event details sent to Google can include the appointment title, times, relevant customer/service details and booking references. We store calendar references and booking/event identifiers to associate appointments with the correct workspace. This does not grant access to unrelated calendars.
Connecting your own Google Calendar: alternatively, an owner or manager can press Connect on the Avowis Integrations page and sign in to the business's Google account. With that permission we: list the calendars the account can edit, so the business can choose where each crew's bookings go; read event identifiers, status and start/end times on the chosen calendars to check availability; create, update and cancel the booking events Avowis makes; and read the account's email address to show which account is connected. We do not use this access for anything else. The access tokens Google issues are stored encrypted, and disconnecting on the Integrations page deletes them from Avowis and asks Google to revoke them.
Google user data is not sold or used for personalised advertising, data brokerage or credit decisions. We do not use it to train general-purpose AI models. Any transfer is limited to providing the authorised service, security, a legal requirement or another use allowed by the applicable Google policy. Where Limited Use rules apply, human access is restricted to your affirmative permission, necessary security or legal purposes, or permitted aggregated internal operations.
You can revoke access through your Google Account connections. Revoking access does not automatically delete information already held by Avowis. To request deletion, use the contact details below.
For a calendar shared with our service account, remove that account's access in the calendar's sharing settings to stop further access. Existing Avowis booking records and events already created in your calendar are not automatically deleted by revoking access; contact us about the records you want removed.
Our handling of Google user data is subject to the Google API Services User Data Policy, including its Limited Use requirements where applicable.
AI and voice processing
To provide a response, relevant conversation content, live audio, business knowledge and service-request details may be sent to the AI or speech provider configured for that business. Supported providers include Google Gemini, OpenAI, Anthropic and ElevenLabs. Not every interaction uses every provider.
Providers process the data needed for their part of the service under the applicable service terms and account configuration. This policy does not promise that all providers have identical retention practices. Contact us for information about the providers used for your business.
Business users should not upload unnecessary sensitive information, identification documents, access codes or private customer histories into general business knowledge. Updating a business knowledge base supplies context for that business; it is not an instruction to publish customer information or train a shared model.
Retention and deletion
We retain information for as long as it is reasonably needed to provide the service, follow the business's instructions, maintain security and audit records, resolve disputes or meet legal obligations. The period depends on the data type, the business relationship and the features in use.
Contact us to request account deletion or ask about retention for your workspace. Deletion can require identity/authority checks and coordination with the business that controls the record. Information required for a legal obligation, security investigation or outstanding dispute may need to be retained. Backup copies may persist until the applicable backup lifecycle completes.
Disconnecting Google or stopping a subscription is not the same as deleting all customer records. Ask the business or contact us if you need a specific record removed.
Your choices and requests
You can ask to access, correct or delete personal information, or raise a concern about its use, by contacting rahul260492@gmail.com. Depending on your location and the applicable law, additional rights may include a copy of your information, restriction, objection, or withdrawing consent where processing relies on consent.
If your request concerns a cleaning visit or another service supplied by a business using Avowis, contact that business first. We can help route privacy requests where appropriate. We may need proportionate verification before releasing or changing personal information; do not send passwords or full identity documents in your initial request.
For supported SMS conversations, reply STOP to opt out and HELP for help. Message and data rates may apply. Withdrawing SMS permission does not delete records already created or cancel an appointment.
Security and processing locations
We use access controls, authenticated sessions, tenant-scoped data access and operational safeguards to protect information. No online service can guarantee absolute security, and users must protect their accounts and only grant appropriate access.
Our infrastructure and providers may process information in the United States and other countries, which may have different privacy laws from your country. The relevant service arrangements and applicable legal requirements govern those transfers. We do not promise that all data remains in a single country.
Children and sensitive use
Avowis business accounts are intended for adults acting for businesses. The service is not directed to children under 13. If you believe a child has supplied personal information improperly, contact us so we can investigate and address it.
Avowis is not an emergency service or a substitute for medical, legal or financial advice. Do not use it to send information requiring a specialised regulated service unless a separate suitable arrangement has been confirmed.
Updates and contact
We may update this policy as the service or its data practices change. The date above identifies the latest version. Where a change requires additional notice or consent, we will provide it before using information in the new way.
